How we helped IBM cloud team plan and execute their biggest virtual event to date
IBM Cloud Forum 2020
Background: IBM Cloud Forum is an annual gathering of C-level tech leaders to learn about what IBM Cloud can do for their businesses. Due to Covid-19, for the first time it had to be run as a virtual event.
The IBM Cloud Team engaged Roger Roger to act as their end-to-end planning and production partner.
The 2-day event explores a slew of topics through keynotes, break-out chats and tech demos with speakers and virtual attendees from across the region. Our job was to help manage the production complexities and help make Cloud Forum 2020 just as successful as previous years’ despite Covid-19.
Our Scope: Technical planning, coordination, video asset generation and localisation.

The challenge
1. Most speakers were unfamiliar with remote webcam recording. Customised solutions were needed to simplify the process for them.
2. Our VIP speakers had very limited time to spare for recording. Careful planning was needed to ensure we get it right in one take.
3. With only little over a month of lead time, we needed to plan a tech solution to help our clients deliver on time, on budget and at a high quality.
4. All video content needed to be localised for the Korean market. This amounted to over 977,648 words to be timed and laid into over 29 video assets.
Our approach
Keeping budget and timing limitations in mind, we advised the IBM Cloud team to go with a simu-live approach; a virtual event that blends live interactivity with pre-recorded video presentations.
Why simu-live?
Simu-live events provide technical flexibility while reducing cost by reducing the need to maintain live stream integrity across multiple speakers around the world. This greatly decreases technical complexity and costly fail-safes. All video presentations are recorded before the event. On event day, presenters login via ON24 to chat with attendees live. Besides the live MC, all presentations for IBM Cloud Forum were pre-recorded via a process called remote recording.
How remote recording works
Remote recording simplifies the video recording process for our presenters.
Think of our platform as a virtual studio. Presenters simply need to login at their scheduled time slots and we’ll do the rest.
Our team controls their microphone levels, their webcam and even drive their slides and teleprompters. During each session, the IBM Cloud team would sit in virtually to give feedback and on-the-spot sign offs.
The footage is beamed directly to our servers, awaiting editing and translation.
